What to Expect Before Your Session

Before your session begins, the BioForward and audiovisual teams may:

  • Provide and test your microphone
  • Review seating and stage placement
  • Confirm the speaker order and session flow
  • Test your presentation
  • Provide a slide clicker, when needed
  • Review timing cues and audience question procedures

Please tell your session contact in advance about any accessibility, mobility, technology or presentation needs.

Presentation Materials

Some Summit sessions will include formal presentations, while others will use a moderated panel or conversational format. Your session contact will confirm whether slides are needed.

If your session includes a presentation:

  • Use a widescreen 16:9 PowerPoint format (no PDFs will be accepted)
  • Keep text brief and large enough to read from the back of the room
  • Use strong contrast between text and backgrounds
  • Embed videos and media directly into the presentation
  • Avoid relying on a live internet connection
  • Bring a backup copy of your presentation on a USB drive

Please submit your final presentation to Rissa Guffey at rguffey@bioforward.org by October 1, 2026. Changes submitted after the deadline may not be available during the session.

Please notify BioForward in advance if your presentation contains video, audio, animation, a live demonstration or another special technical requirement.

Typical Session Flow

Formats will vary, but most sessions will follow a structure similar to this:

  1. A BioForward representative welcomes the audience and introduces the session sponsor.
  2. The session sponsor may provide a brief welcome and introduce the moderator.
  3. The moderator introduces the topic and speakers.
  4. Speakers deliver their presentations or participate in a moderated discussion.
  5. The moderator leads audience questions, as time allows.
  6. The moderator or BioForward representative closes the session.

Please help us keep the Summit agenda running on time by staying within your assigned presentation or response length.
