Conference registration cancellation and refund policy
Overview
This policy outlines the terms and conditions governing cancellations, refunds and event changes for FSRA Exchange.
FSRA is committed to transparency, fairness and fiscal responsibility. Registration fees support direct conference costs including venue rental, technology, accessibility services, and materials.
Registration confirmation
Registration is confirmed upon receipt of payment. By registering, participants agree to comply with this Cancellation and Refund Policy.
Written notice requirement
All cancellation requests must be submitted in writing to events@fsrao.ca. The effective date of cancellation will be the date the written request is received. Refunds will be processed within approximately 30 business days and returned using the original method of payment. Ticket refunds are available until May 7, 2026. Please note: Group registrations are not eligible for a refund.
Conference cancellation
If the conference is cancelled by FSRA and not rescheduled:

Registered participants will receive a full refund of the registration fee.

Refunds will be issued to the original method of payment.
FSRA is not responsible for travel, accommodation, or other related expenses incurred by participants.
Conference postponement or rescheduling
FSRA reserves the right to postpone or reschedule where necessary. If the event is postponed or rescheduled with a new announced date, registrations will automatically transfer to the new date. If you cannot attend, you may request a refund within 10 business days of the announcement.
Program modifications
Conference agendas, speakers, and session content are subject to change. Such modifications do not constitute grounds for a refund.
Accessibility accommodations
FSRA is committed to accessibility in accordance with applicable legislation (e.g., Accessibility for Ontarians with Disabilities Act (AODA), where applicable).
Participants requiring accessibility accommodations are required to notify the organization at the time of registration and at least ten (10) days prior to the date of the conference at events@fsrao.ca.
No-show policy
Failure to attend the conference without prior written cancellation does not entitle the registrant to a refund.
Administrative fees
Where permitted under this policy, approved refunds may be subject to an administrative fee of $25 (plus applicable taxes) to cover processing costs. Transfer requests may also be subject to a $25 processing fee. Any such fees will be disclosed at the time of the request.
Transfers and substitutions
Subject to availability, a registrant may request a one-time substitution to another attendee for the same ticket type up to ten (10) days before the event. Name changes after that window may not be accommodated.
Privacy and Personal Information (FIPPA)
Personal information collected for registration is used to administer the conference, process payments, and communicate with registrants. FSRA handles personal information in accordance with applicable privacy legislation, including the Freedom of Information and Protection of Privacy Act (Ontario), and applicable internal policies. Contact events@fsrao.ca for privacy inquiries.
Code of conduct and removal for cause
All participants are expected to behave professionally and respectfully. FSRA may deny or revoke access to any person whose behavior disrupts the conference or threatens health, safety, security, or the dignity of others. Refunds will not be provided where removal is due to a breach of this clause.
Force majeure
FSRA will not be liable for any failure or delay in performing its obligations where such failure or delay results from events beyond its reasonable control, including but not limited to acts of God, extreme weather, natural disasters, public health emergencies, labor disputes, supply or utility interruptions, governmental orders or the venue not being available for the conference. In such circumstances, FSRA may cancel, postpone, or modify the conference. Refunds will be addressed in accordance with the relevant sections of this policy.
Payment terms and unpaid registrations
Payment is due at the time of registration unless otherwise stated. FSRA reserves the right to cancel unpaid registrations and release the seat without further notice. Attendance may be denied if full payment has not been received prior to the start of the Event.
Health and safety requirements
Participants must comply with applicable health and safety requirements imposed by the venue, FSRA, or public health authorities.
Limitation of liability
To the maximum extent permitted by law, FSRA is not liable for indirect, incidental, special, or consequential damages, or for travel, accommodation, or other incidental expenses arising from cancellation, postponement, or modification of the conference, even if advised of the possibility of such damages.
Conference-specific terms
Where the conference includes meals, materials, or special sessions, details on inclusions and any non-refundable components will be disclosed in conference communications. Unless otherwise stated, optional add-ons are refundable only if the underlying registration is refundable.
Governing law
This policy and any disputes arising in connection with the conference are governed by the laws of the Province of Ontario and the laws of Canada applicable therein.
