Terms and Conditions

By purchasing a ticket and attending ScentXplore Edition 8 ("Event"), you ("Attendee") agree to the following Terms and Conditions:

Non-refundable. All ticket purchases are final, non-refundable an non-exchangeable, including under medical, personal, or travel circumstances. Tickets may be transferred to another person by emailing info@scentxplore.com no later than October 5th, 2026, subject to ScentXplore's approval. Tickets purchased after that date or at the door are non-transferable.

Event Changes. ScentXplore may modify the schedule, programming, and speakers. If the Event is cancelled or rescheduled due to circumstances beyond our control (including force majeure), ticket holders will be offered transfer to a future Event. Refunds will not be issued.

Admission and Conduct. Entry requires valid registration and government-issued photo ID. Attendees must behave professionally and respectfully. Disruptive, discriminatory, or harassing behavior may result in removal without refund.

Unauthorized Product Sales & Merchandise. The sale, distribution, or advertisement of any products or merchandise — including but not limited to fragrance products, decants, samples, branded materials, and promotional items — is strictly prohibited for all attendees. Only official ScentXplore exhibitors holding a valid exhibitor agreement are authorized to present, promote, sell, or distribute products at the event. Any attendee found engaging in unauthorized commercial activity will be subject to immediate removal from the event without refund. ScentXplore LLC reserves the right to confiscate any unauthorized merchandise or promotional materials at its sole discretion.

Prohibited Items. Bag checks may be conducted at entry. Large bags, backpacks and luggage of any size are not permitted. Other prohibited items include illegal substances, outside food and beverages, weapons of any kind and professional photography or recording equipment (including tripods, monopods, gimbals, ring lights, external lighting, drones, and detachable-lens cameras). Personal mobile devices for non-commercial use are permitted.

This event is not suitable for children under 15. Attendees aged 15–16 must have their pass purchased by a parent or legal guardian. All attendees must hold a valid purchased pass.

Photography and Media Release. By attending, you grant ScentXplore, its sponsors, and affiliates the irrevocable, perpetual right to record, photograph, and livestream your likeness for promotional use in any media worldwide, in all formats now known or hereafter developed. You waive any right to inspect or approve the finished product and acknowledge that no compensation will be provided.

Liability. Attendance is at your own risk. ScentXplore, its organizers, contractors, partners, and the venue are not liable for injury, illness, loss, damage, or theft. This waiver does not apply to gross negligence or willful misconduct.

Governing Law. These Terms are governed by the laws of the State of New York. Disputes will be resolved exclusively in the state or federal courts of New York County, New York.

Acceptance. By completing your purchase, you acknowledge that you have read, understood, and agreed to these Terms in full. Your electronic acceptance has the same legal force as a handwritten signature.

Scentxplore LLC ("ScentXplore," "we," "us") respects your privacy and is committed to protecting your personal information. This summary explains how we handle your data when you purchase a ticket to ScentXplore.

Information We Collect. When you purchase a ticket, we collect your full name, email, country of residence, and payment information (processed directly by our payment processor; we do not store card details). When you visit scentxplore.com, we automatically collect technical data such as IP address, browser type, pages viewed, and cookie data.

How We Use Your Information. We use your data to process your ticket purchase, deliver event credentials, send transactional communications (registration confirmation, schedule, venue details), manage event entry, respond to inquiries, comply with legal and tax obligations, and prevent fraud. With your opt-in consent, we may also send marketing communications about future ScentXplore events.

Sharing. We do not sell your personal information. We share data only with service providers necessary to operate the Event (payment processor, ticketing and registration platform, cloud and email service providers, analytics services), each contractually required to protect your information. Limited attendee information may be shared with exhibitors or sponsors only with your explicit consent. We may also disclose information when required by law.

International Transfers. ScentXplore is based in the United States. If you access our services from outside the U.S., including the EU or UK, your information will be transferred to and processed in the United States under appropriate safeguards (including Standard Contractual Clauses where required).

Cookies. scentxplore.com uses essential and analytics cookies. You can manage cookie preferences through our consent banner or your browser settings.

Data Retention. Ticket and transaction records are retained for at least 7 years to comply with U.S. tax and accounting requirements. Marketing data is retained until you unsubscribe or request deletion.

Your Rights. Depending on your location, you have the right to access, correct, or delete your personal data, unsubscribe from marketing, and (for EU/UK and California residents) additional rights including data portability, objection to processing, and withdrawal of consent. To exercise these rights, email info@scentxplore.com. We do not sell your personal information.

Photography at the Event. By attending ScentXplore, you acknowledge that the Event will be photographed and recorded. Your image, voice, and likeness may be used for promotional, marketing, editorial, archival, and commercial purposes without further notice or compensation. Requests regarding specific images may be directed to info@scentxplore.com.

Data Security. We use reasonable technical and organizational measures to protect your information, including encryption through our payment processor and access controls. No system is fully secure.

Changes to This Policy. We may update this Policy from time to time; the "Last updated" date reflects the most recent version.
