Accelerating Accounts Payable Processing by 90% at Lionsgate

Learn how Lionsgate was able to successfully leverage Accounts Payable (AP) Automation within SAP across the company’s global operations. This session will share the journey of how the finance team drove the successful rollout and adoption of a “best in class” AP process by leveraging xSuite invoice automation.

We will share with you the many business challenges we were needing to address thru AP automation. Ultimately the transformation of our Procure to Pay process dramatically increased the ownership, collaboration and accountability across the organisation.

Powerco's Digital Transformation with SAP Analytics Cloud (SAC) Planning for Budgeting and Forecasting

Powerco Limited had historically been preparing their Financial Budgets and Forecasts on a methodology of Microsoft Excel and Email. This presented challenges in terms of aggregation speed and accuracy, version and change control, tracking completion progress, evidencing the approval process, inconsistency of format, exposure to human /modelling error, and too much reliance on a few individuals.

Powerco took the decision to migrate to SAC Planning as their cloud solution for preparing financial budgets and forecasts. It takes care of task allocation, distribution, data capture, aggregation, calculation, workflow and tracking, approval, and reporting. The session will share the Phase 1 journey so far, which has involved preparing the Income Statement. Next steps for Phase 2 will prepare the Balance Sheet and Cashflow Statement.

Position Based Management to Improve Business Alignment

Genesis discovered they had low control and visibility of incremental positions and there was a disconnect between recruitment, HR systems, and finance (roles were being recruited where no budgeted headcount existed). The finance team also spent significant time forecasting at the employee level.

Part of this was a manager education issue but part of it was also lack of process. Implementing a position creation process using SuccessFactors EC workflows and business rules helped strengthened the process side and it was also an opportunity to address the manager education side.

Of course, this hasn’t meant things are now 100% error free (they still have some managers offering jobs to people before even speaking to recruitment), but it has helped create rigour and data quality throughout the process.

Finance Transformation at Powerco: Out with Spreadsheets in with Automation

The Powerco Finance team were looking for ways to enable and support business growth and diversification, without having to grow the team. General Ledger Account Reconciliations was recognised as one of the tasks that could benefit from automation.

The old methodology of Spreadsheets and Email had issues around keeping it in synch with the latest Trial Balance, monitoring progress, evidencing review, consistency of format, accessing the records, and the amount of effort they required. Open item clearing of the GST accounts was also problematic. A move to Blackline addressed all of these issues and introduced new efficiencies. A bonus feature was the ability to migrate the management of Month End Close tasks (more spreadsheets and emails) into the cloud application and introduce workflow and good reporting.

The Royal Eswatini Sugar Corporation (RES) embarked on an SAP S/4HANA Public Cloud journey. It has meant they have had to change the way we work, the way they think and the way they deliver I.T. Solutions. RES have changed their way of thinking to digital and cloud. Change management has been critical. Their projects are delivered by Mission Led Teams, a non-hierarchical, cross functional, purpose-led strategic focus team.

The project has achieved cost savings of 18% on the total running costs of SAP, excellent business participation and ownership via a low-risk implementation. SA Power Networks Journey to S/4HANA and Evolution Beyond Go-Live

SA Power Networks has completed the second of two SAP S/4HANA transformations, a greenfield implementation of SAP S/4HANA (ISU) replacing legacy billing and market solutions that ran on ageing technology in 2021. Followed by a brownfield conversion of ECC to SAP S/4 HANA in 2022.

By recognising that go live is only the start of your digital transformation, SA Power Networks share their approach taken to establish the migration path of a choice including the identification of future opportunities across the core SAP S/4HANA processes. SA Power Networks has continued the modernisation of the platform beyond the SAP S/4HANA go live investing in a mindset and skills shift within the team to deliver ongoing transformation.

Mission Possible – Using Mission Led Teams to Deliver Projects including SAP S/4HANA Cloud

As part of The Royal Eswatini Sugar Corporation's (RES) SAP S/4HANA Public Cloud journey they have had to change the way they work, the way they think and the way they deliver I.T. Solutions. In the past they've struggled to get business ownership and participation in I.T. projects and their siloed approach worked in a linear fashion with mixed results. So, RES changed their way of working and delivering projects to a Mission Led Teams (MLT) approach, a non-hierarchical, cross functional, purpose-led strategic focus team, who operates according to disciplines and principles in a trusting environment.

The MLT’s use a KANBAN approach to plan and execute the project tasks, where team members volunteer to do work and set their own deadlines. The results have been exceptional. This achieved over 100 business members of the MLT’s, committed attendance to planning, standup, demo and retro sessions, business ownership of design and solutions and excellent project outputs and outcomes.

This session will focus on the change management approach that was critical to the success of the transformation, as well as any challenges that arose and how they were resolved.

Newmont’s SAP Roadmap and Journey Achieve One Consolidated ERP

Newmont Corporation, one of the world's largest gold producers completed the acquisition of Newcrest Mining Limited, a leading Australian gold miner in November 2023. The deal created the world's largest gold company by market capitalisation, production, and reserves. Newmont will integrate Newcrest's operations and assets into its portfolio and leverage its expertise and technology to optimise performance and growth. As part of the integration process, Newmont will migrate Newcrest's Enterprise Resource Planning (SAP ECC 6.0) system to Newmont’s Enterprise Resource Planning (SAP S/4HANA). AGL’s Mental Health Incident Management App built in SAP using Human Centred Design

The issue of mental health and related impacts on the health and wellbeing of AGL’s workforce was becoming of material concern to the management. Unfortunately, the extent of and potential severity of this issue was relatively unknown due to a lack of accurate and dependable reporting and analysis of these types of incidents.  

There was an urgent need to create a process where employees and relevant leaders can adequately and confidentially identify, report and monitor psychologically impacting events in the workplace, or events which impact them in a way which requires support, acknowledgment or intervention by their colleagues, leaders, and relevant Human Resource partner and injury management coordinators. 

We developed a Fiori app using Human Centered Design (HCD) principles to record and confidentially process these incidents with enough smarts built in to determine the level of support required for processing the incident with sensitivity. By focusing on building genuine empathy for, and understanding of, the people that will be using the app, HCD approach helped make sure that the new app was tailor-made to meet the workers’ needs and wants.

Taking Action & Measuring Outcomes: Improving Workplace Belonging for Underrepresented Groups by Co-designing an Internal Indigenous Brand for their SuccessFactors Platform

New Zealand Rugby’s work environment and practices have in the past leaned towards a male dominant, monocultural look and feel. People who identify as Māori, Pasifika and LGBTTQIA+/Rainbow had been underrepresented in the organisation, and while women make up 50 per cent of its workforce, few held senior roles. They had data that suggested these groups faced inequitable experiences at work.

In response to this, NZ Rugby developed and implemented an Equity Diversity & Inclusion (EDI) strategy with 5 pillars (Governance/Leadership, Collaboration, Pathways, Policy Practices & Environment Accountability), migrated their HRIS to SuccessFactors, and gave the platform an indigenous (Te reo Māori) name – Pātaka. They used demographic data to track belonging scores for their target groups as they implemented the plan and have seen positive improvements for these groups.

By late 2022 the government released the Queensland Energy and Jobs Plan (QEJP) where it laid out targets to reach 80% renewable energy by 2035. As a government owned corporation (GOC) CS Energy plays a large role in generating power for the state and securing the renewable assets and resources to power Queensland.

Facing a large period of workforce transformation, the People and Culture team are leading workforce transition through large-scale workforce planning and change management projects.

Utilising HR systems such as SuccessFactors, the team have completed scenario workshops that will set up the foundations for a strategic workforce plan. Using inputs from the talent, succession, performance, reporting, and learning modules, we will assemble skills and competency frameworks, career pathways, transition plans and training and development strategies that will enable employees to adapt and thrive in a changing industry.

Due to limited resources, they opted to start small by selecting pilot groups to run through the entire Job Architecture process. This turned out to be a fortuitous approach when Talent Intelligence Hub was announced and Genesis learned they had to essentially forget everything they knew about Skills and Competencies.

This involved a full cleanup for Job Codes and learning about how different organisations do Job Profiles.

AGL’s Mental Health Incident Management App built in SAP using Human Centred Design

The issue of mental health and related impacts on the health and wellbeing of AGL’s workforce was becoming of material concern to the management. Unfortunately, the extent of and potential severity of this issue was relatively unknown due to a lack of accurate and dependable reporting and analysis of these types of incidents.  

There was an urgent need to create a process where employees and relevant leaders can adequately and confidentially identify, report and monitor psychologically impacting events in the workplace, or events which impact them in a way which requires support, acknowledgment or intervention by their colleagues, leaders, and relevant Human Resource partner and injury management coordinators. 

We developed a Fiori app using Human Centered Design (HCD) principles to record and confidentially process these incidents with enough smarts built in to determine the level of support required for processing the incident with sensitivity. By focusing on building genuine empathy for, and understanding of, the people that will be using the app, HCD approach helped make sure that the new app was tailor-made to meet the workers’ needs and wants.

Position Based Management to Improve Business Alignment

Genesis discovered they had low control and visibility of incremental positions and there was a disconnect between recruitment, HR systems, and finance (roles were being recruited where no budgeted headcount existed). The finance team also spent significant time forecasting at the employee level.

Part of this was a manager education issue but part of it was also lack of process. Implementing a position creation process using SuccessFactors EC workflows and business rules helped strengthened the process side and it was also an opportunity to address the manager education side.

Of course, this hasn’t meant things are now 100% error free (they still have some managers offering jobs to people before even speaking to recruitment), but it has helped create rigour and data quality throughout the process.

Managing SAP Security in a Hybrid Cloud Landscape 

SAP is no longer a closed, on-prem traditional R3 system. With Digital transformations, the advent of cloud technologies and a shift towards more cloud-native, SaaS-based solutions, most SAP customers are now operating with a hybrid SAP landscape. This includes traditional SAP systems (i.e. SAP S/4HANA, ECC6) either on On-Prem Data Centres or on Public Cloud infrastructures, Cloud-based SaaS applications like Ariba, SuccessFactors, Concur etc.   

In addition, cloud offerings such as RISE with SAP and Grow with SAP means customers are navigating Shared Responsibility Models as part of a hybrid cloud SAP landscape. This brings about new challenges for SAP teams, including but not limited to SAP Security and Basis.  

SAP solutions like GRC and Authentication, Single Sign On have to move towards the use of SAP Business Technology platform offering which includes Cloud Identity and governance Services like IAS (Identity Authentication Service), IPS (Identity provisioning Services) and IAG (Identity Governance Services) to bring in Governance and controls to cover entire SAP landscape which is Hybrid.   

The SAP customer also needs to understand its responsibilities clearly with Shared Responsibility model which comes with Cloud/SaaS based offerings with RISE with SAP etc, as even though lot of responsibility falls on vendor the Customer still owns the Responsibility of data and its security.   

  • What does RISE with SAP and hybrid cloud deployment mean for your SAP Security instance?  
  • How do you document Roles and Responsibilities with the Shared Responsibility model and be better prepared to ask SAP questions, like who Own SAP Patch Day process, can we still dictate customer Policy around patching vulnerability etc. with RISE with SAP?

As SAP systems are now more interconnected with external endpoints, SaaS-based systems, and cloud environments, the risk of cyber-attacks has risen significantly. This changing environment necessitates a shift in focus for SAP professionals, particularly those in SAP security roles.  

Traditionally, SAP security has been limited to role-based access control, identity access management, governance, risk and compliance (GRC) SOX compliance, etc. However, in the face of modern cyber threats, more than this approach is required. SAP security professionals must adapt to have a “SAPCyberSecurity” Mindset rather than just being traditional SAP Security.  

SAP Security team and SAP teams in general (Including Basis etc.) need to work together, to include other Cyber domains like Vulnerability Management, Threat Management, Incident Response, Logging and Monitoring, Disaster Recovery, Infrastructure Security, and Network Security, etc. into SAP world and their Roles and Responsibilities.   

For adequate protection, there needs to be a collaboration between the SAP Security team and the broader Information Security/Cyber Security team. This collaboration will ensure that SAP systems are not only compliant with general security practices but are also protected against specific threats that these systems face in a more interconnected and cloud-based SAP environment.
